Welcome to this teaching.

In this lesson, we are going to look at two things:

Utility Formatter
SMS by Zapier

We have already talked about Text Formatter, Date and Time Formatter, and Number Formatter.

Now, let us talk about Utility Formatter.

Utility Formatter is used for more special formatting needs.

It is not always the first part of Formatter beginners use, but as you grow in automation, you will start seeing how useful it can be.

Utility Formatter can help you work with:

Lists.

Line items.

CSV files.

Tables.

Templates.

Special data structures.

Document mapping.

For example, let us say someone fills a form, and you want their information to be placed inside a document template.

Maybe the template says:

My name is ______.

My school is ______.

My course is ______.

When the person fills the form, automation can collect their name, school, and course, then place those details inside the right part of the template.

So instead of receiving an empty template, you receive a completed document.

This is useful when creating certificates, onboarding documents, application documents, reports, and structured forms.

Utility Formatter can also help when you are working with CSV files.

A CSV file is a type of spreadsheet file.

Sometimes, your automation may need to import or process information from a CSV file.

Utility Formatter can help with that kind of workflow.

It can also help when you are working with line items.

Line items are useful when there are multiple items inside one record.

For example, someone may buy three different products.

Instead of treating everything as one simple text, you may need to handle those items properly.

That is where Utility Formatter can become helpful.

Now, Utility Formatter may feel advanced at first, but do not be afraid of it.

As a beginner, you do not need to master everything in one day.

Start by understanding what it is used for.

Then, as you build more workflows, you can come back and practise the specific Utility option you need.

Now, let us move to SMS by Zapier.

SMS by Zapier helps you send automated text messages from your Zap.

For example, you can use it to send:

Confirmation messages.

Reminder messages.

Alerts.

Follow-up messages.

Notifications.

Let us say someone fills a form to book an appointment.

You may want them to receive a text message confirming the booking.

Or maybe someone registers for a training, and you want to send them an SMS reminder before the class starts.

Or maybe you want to notify a team member when a new lead comes in.

SMS can help with that.

However, there is something important you need to know.

SMS by Zapier currently has location limitations.

It mainly works with US and UK numbers.

So if you are building a workflow for a client outside those locations, you need to check whether SMS by Zapier will work for their use case.

This is why it is important not to assume.

Always check the tool’s limitation before promising a client that you can build a certain workflow.

If SMS by Zapier does not work for the location you need, you can look at other tools, such as Twilio.

Twilio can support SMS, calls, WhatsApp messages, and API-based communication depending on your account, setup, and location.

But it also has its own setup process and location availability, so you must check before using it.

The point is this:

SMS automation is useful, but you must understand the tool, the supported countries, and the client’s needs before building it.

Do not just add SMS because it sounds nice.

Ask:

Who should receive the SMS?

What should the message say?

When should the message be sent?

Is SMS supported in this location?

Should we use SMS, email, WhatsApp, or another notification method?

This is how you think like an automation assistant, not just someone clicking tools.

Your assignment for this teaching is simple:

Think of one workflow where SMS can be useful.

For example:

A booking confirmation.

A class reminder.

A payment alert.

A customer follow-up.

A team notification.

Write out what should trigger the SMS and what the message should say.

Then check if SMS by Zapier or another tool would be suitable for that use case.
