Introduction To Formatter By Zapier -Teaching 1
Welcome to this teaching.
In this lesson, we are starting with one of the most useful tools inside Zapier, and that is Formatter by Zapier.
If you have been following our Zapier Automation Series, you already know that automation is not just about connecting one app to another.
Sometimes, you connect your trigger and action correctly, but the data coming from your trigger does not look the way you want.
For example, someone fills a form and enters their name in all capital letters.
Instead of the name coming in as:
Jane Doe
It comes in as:
JANE DOE
Or maybe a date comes in as:
2026-02-10
But you want it to appear in a clearer format, like:
February 10, 2026
Or maybe a phone number comes in without the right country code.
Or a price comes in as a plain number, but you want it to appear as currency.
This is where Formatter by Zapier becomes very useful.
Formatter helps you clean, transform, and prepare data before sending it to the next step in your Zap.
The first thing you need to understand is this:
Formatter cannot be a trigger.
A trigger is what starts your Zap.
For example:
A new form submission can start a Zap.
A new Airtable record can start a Zap.
A new Google Sheet row can start a Zap.
But Formatter does not start the Zap.
Formatter comes after the trigger.
It works as an action step inside your Zap.
So the flow may look like this:
A new record is added in Airtable.
Formatter cleans the data.
Then the cleaned data is sent to another app, like Google Sheets, Gmail, a CRM, or another tool.
That means Formatter sits in the middle of your automation.
It takes the data that came from your trigger, cleans it, changes it, or arranges it properly, then passes it to the next step.
This is why Formatter is one of the most important tools to understand if you want to build professional automations.
Many beginners ignore Formatter because they think automation is only about:
“When this happens, do that.”
But real client workflows are not always that simple.
Sometimes you need to clean the name.
Sometimes you need to change the date.
Sometimes you need to split a full name.
Sometimes you need to calculate a price.
Sometimes you need to remove spaces.
Sometimes you need to make the data look more professional before sending it out.
Formatter helps you do all of that.
Inside Formatter by Zapier, there are four major categories you should know:
Text
Date and Time
Number
Utility
Text helps you work with written information.
Date and Time helps you work with dates and time.
Number helps you work with prices, calculations, phone numbers, and numeric data.
Utility helps you work with special formatting needs like line items, lists, templates, and files.
As you continue learning automation, you will notice that Formatter shows up again and again.
You may use it when working with forms.
You may use it when working with spreadsheets.
You may use it when sending emails.
You may use it when creating documents.
You may use it when updating CRM records.
You may use it when preparing customer information.
The goal is simple:
Use Formatter whenever the data coming into your Zap does not look the way you need it to look.
This is what makes your automation cleaner and more professional.
Because if messy data enters your workflow and you do not clean it, the result will also look messy.
So before you send data to the next step, ask yourself:
Does this name look right?
Does this date look right?
Does this number look right?
Does this phone number look right?
Does this text need to be cleaned?
Does this information need to be split, shortened, or changed?
That is how you know when Formatter is needed.
Your assignment for this teaching is simple:
Create a simple Zap using either Airtable or Google Sheets as your trigger.
Then add Formatter as the next step.
Try to clean or change one piece of data.
It could be a name.
It could be a date.
It could be a number.
The goal is not to do everything at once.
The goal is to understand how Formatter works inside a Zap.
