Zapier Automation Series: Formatter, SMS, and Delay Explained

In this lesson, we continue our Zapier Automation Series inside the Teaching Session.

This series is especially for those who have already gone through the Foundational VA stage and are now beginning to develop interest in automation, systems, and workflow support.

At the foundational stage, you learn how online work happens. You learn tools, communication, file organisation, Google Workspace, admin support, customer support, research, and other basic VA skills.

But as you grow, you may start seeing how businesses need more than manual support.

They need systems.

They need workflows.

They need repetitive tasks to happen automatically.

That is where automation comes in.

In today’s lesson, we are looking at three important Zapier tools that can make your automations cleaner, smarter, and more professional:

Formatter by Zapier
SMS by Zapier
Delay by Zapier

Many beginners know how to connect one app to another, but real client work often needs more than that.

Sometimes the data coming from your trigger is messy.

A name may come in all capital letters.

A date may not appear in the format you want.

A phone number may need cleaning.

A price may need calculation.

Or you may need your automation to wait before sending the next message.

That is where these tools become very useful.

In this training, you will learn how to use Formatter by Zapier to clean, organise, and transform data before sending it to another app. We cover text formatting, date formatting, number formatting, phone numbers, currency, calculations, splitting names, replacing words, removing extra spaces, and more.

We also look at SMS by Zapier, how it works, when you may need it, and its current UK and US number limitations. I also briefly explain how tools like Twilio can support SMS, calls, WhatsApp messages, and API-based communication, depending on your location and setup.

Then we go into Delay by Zapier, one of the most useful tools for creating better workflows. You will learn how to pause a Zap, delay follow-up emails, send reminders, create simple email sequences, and control when each action happens instead of allowing everything to run at once.
