How to Format Lead Data Professionally Before Sending It to Clients- Part 2
After collecting your lead information, the next step is knowing how to save and organise the data properly.
In the practical training, the lesson introduces Microsoft Excel as a tool for arranging and formatting lead generation data. It also explains how lead data can be saved in different file formats like TXT, CSV, and Excel.
Understanding TXT, CSV, and Excel Files
When working with lead data, you may come across different file formats.
TXT file
A TXT file is a plain text file. It can store information, but it does not organise data as neatly as a spreadsheet. If you are not careful, the information can look scattered or overlap when opened in Excel.
CSV file
CSV means comma-separated values. This type of file separates information with commas. It may look plain when opened in Notepad, but Excel can read it and arrange the information into columns.
Excel file
An Excel file is usually saved as .xlsx. This is one of the best formats for sending a clean and professional lead list to a client.
For client delivery, Excel or Google Sheets is usually better because the data can be arranged, filtered, resized, and formatted properly.
Basic Excel Terms to Know
If you are using Microsoft Excel, there are a few basic things to understand.
Column
A column runs from top to bottom. Columns are usually labelled with letters like A, B, C, and D.
Row
A row runs from left to right. Rows are usually labelled with numbers like 1, 2, 3, and 4.
Cell
A cell is the box where a row and column meet. This is where you enter your data.
For example, the first cell in Column A and Row 1 is called A1.
Each business name, phone number, website, address, or email will sit inside a cell.
How to Make Your Lead List Look Professional
Before sending your lead list to a client, check these things:
Are the column headings clear?
Are the business names properly arranged?
Are the phone numbers showing correctly?
Are the websites in the right column?
Are the addresses easy to read?
Are there empty spaces that need to be cleaned?
Are there duplicate entries?
Are the columns wide enough?
Can the client filter the information easily?
Is the file saved in the right format?
These small details matter because they affect how the client sees your work.
Common Formatting Issue: Phone Numbers
Sometimes Excel may treat phone numbers like normal numbers. This can make the number display wrongly.
To avoid this, you can change the phone number column format from General to Text.
This tells Excel that the phone number is contact information, not something to calculate.
Using Filters
Filters help you find specific information inside a spreadsheet.
For example, if you have 100 businesses and you want to see only businesses in one location, you can filter by location.
You can also filter by:
Industry
Country
City
Business type
Source
Availability of website
Availability of phone number
Status
Filtering does not delete the other information. It only hides what you do not need to see at that moment.
Practical Activity
To practise this lesson:
Go to Google Maps.
Search for a business category in any location.
For example, restaurants in Accra, real estate companies in Lagos, fitness centres in London, or dental clinics in New York.
Pick 5 businesses.
Collect the following information:
Business name
Industry
Address
Website
Phone number
Source
Then open Microsoft Excel or Google Sheets.
Create your column headings, enter the information neatly, resize your columns, check your formatting, and save the file properly.
Before sending any lead list to a client, ask yourself:
Can the client understand and use this file immediately?
If the answer is yes, then you are learning to format lead data professionally.
